Project Specialist - Document Governance

About the role

Based in our Tauranga office, this is a fixed-term position reporting to the Marketing Director. 

This is a senior, hands-on specialist role requiring the judgement and experience to lead a structured assessment across a complex business environment. You will work across Marketing, Legal, Compliance, Digital Business, Operations and other key teams to establish a clear view of Craigs' current document and form landscape, define practical governance and workflow requirements, and recommend a scalable approach to document and notice management. The role combines detailed investigation with stakeholder leadership, process design and operational change, and is not an administrative document-control position.

Key responsibilities include:

  • Lead the identification, cataloguing and validation of business documents and forms, including where they are held, how they are accessed and how they are used.
  • Strengthen and maintain the central document register, ensuring it provides a reliable view of master files, templates, artwork, editable source files and publication points.
  • Confirm clear business ownership, approval responsibilities and review requirements for each document.
  • Map dependencies across documents, including disclaimers, legal references, clauses, terminology, business rules, linked forms and related communications.
  • Document current-state processes and stakeholder requirements across document creation, review, approval, version control, storage, publication, update and distribution.
  • Identify risks, gaps and opportunities to simplify, consolidate, retire or reformat duplicated, outdated or overly complex documents and forms.
  • Coordinate consistency reviews and work with Legal and Compliance specialists to identify where formal review or escalation is required.
  • Review Marketing's role in document requests, design and template changes, approvals, publication, intranet access and ownership handover.
  • Develop a practical baseline governance framework covering ownership, approval pathways, review cadence, register maintenance, change protocols and reporting.
  • Partner with Digital Business, Procurement and subject matter experts to assess future-state tool, platform and workflow requirements and recommend a scalable, sustainable document and notice management solution.

About you
We are looking for an experienced specialist who can quickly build credibility across the business, bring structure to a complex and evolving area, and move confidently between detailed document analysis and senior stakeholder discussions. You will be able to demonstrate:

  • Substantial experience leading structured assessment, governance, business process or operational change work in a complex organisation.
  • A proven ability to take an ambiguous business problem, establish a clear current-state view and translate findings into practical future-state recommendations.
  • Strong commercial judgement and the confidence to challenge existing processes, clarify accountability and make well-reasoned recommendations.
  • Experience working across multiple functions and with senior stakeholders, business owners and subject matter experts.
  • Advanced attention to detail, with strong proofreading and quality assurance capability.
  • Practical understanding of document governance, workflow design, version control, ownership, approvals, auditability and change management.
  • Experience balancing regulatory, legal or compliance requirements with operational practicality and user experience.
  • Excellent written and verbal communication skills, including the ability to document complex processes and present clear recommendations.
  • Advanced capability in Microsoft Word, Excel, PowerPoint, Outlook and SharePoint.
  • A self-directed, delivery-focused approach, with the ability to prioritise, work through complexity and maintain momentum across multiple workstreams.
