Executive Assistant - Head of Advisory

Auckland - Central Auckland

 About the role:  

An exciting opportunity exists for an Executive Assistant reporting to the Head of Advisory, Private Wealth (HoA).   Based in Auckland, this is a permanent full-time role within our Private Wealth team. The Executive Assistant is responsible for providing high level administrative support to the HoA.  Discretion is required due to the confidential and sensitive nature and work. From time to time, support will be required for other departments and the position will provide assistance with general office administration.  You will be required to provide high level and varied executive support, including but not limited to: 

  • Supporting the Head of Advisory by providing administrative, operational and logistical support to ensure smooth operations, enabling the Head of Advisory to focus on key deliverables 
  • Organising travel for the Adviser network 
  • Manage relationships with key stakeholders, internal and external 
  • Organising large annual events, as well as smaller regional and team specific events  
  • Creating agendas, minute taking and following up on action items 
  • Organising meetings with key stakeholders and providing a high level of  administration support.  
  • Creating PowerPoint presentations for company events, team events and branch reporting 
  • Support the Executive Assistant to the Head of Private Wealth and Markets when required and provide cover while on leave 
  • Manage and support compliance functions in relation to private wealth products and industry requirements  
  • Support the Head of Advisory and the wider team with projects, as they arise 

About you:  

Suitable candidates will have relevant experience in a similar role, ideally with a background in financial services and/or supporting senior management or C-suite. level or similar. Additionally, suitable candidates will require: 

  •  Experience in New Zealand retail financial services and regulations (desirable, not essential) 
  • Proven experience as an EA supporting senior and/or c  suite (6+ years as an Executive Assistant) 
  •  A high aptitude for organisation, written and verbal communication skills and  high attention to detail.  
  •  Excellent Microsoft Office skills in Word, Excel, Outlook, PowerPoint and  experience using SharePoint 
  •  Demonstrate initiative, confidence and an outstanding customer service  approach and professional manner 
  •  Demonstrate discretion, confidentiality and sound judgement in handling  sensitive confidential matters and documentation 
  •  Demonstrate the ability to respond proactively and be flexible in a fast-paced  environment and be able to juggle competing priorities with strict deadlines
